Terms Condition

Please read very carefully as it is a legally binding agreement.

1. Introduction

Welcome to intochinaplan.com. By using our website and services to create customized travel itineraries for China, you agree to these Terms and Conditions.

Please read them carefully before proceeding with any bookings.

2. Services Provided

We offer AI-generated and expert-curated travel itineraries for inbound tourism in China. Our services include:

Custom travel itinerary planning.

Sale of personalized travel itinerary plans.

Fully packaged private tours, including accommodation, transportation, and guided services.

Hotel recommendations and local transport suggestions.

Booking facilitation for selected services.

3.Booking and Payment

Some services on our platform may require full or partial payment in advance.

Prices are subject to change due to fluctuations in exchange rates, local taxes, and availability.

All payments must be made through our approved payment methods.

Deposit Payment

Requirement: A deposit (amount specified by your travel consultant-Usually 30% of the total payment) is required to secure your booking.

Confirmation: Upon receiving your deposit, we will send a confirmation email with electronic contracts and a proforma invoice detailing your tour/services.

Balance Payment

Due Date: The remaining balance must be paid 7-10 days prior to your departure date, as stated in your booking confirmation.

Late Payment: Failure to pay by the due date will result in a payment reminder. Persistent non-payment may lead to booking cancellation.

Full Payment Requirements

Immediate Payment: Full payment is required upfront for time-sensitive bookings (e.g., tickets, hotels), as communicated by your consultant.

Bookings Within 15 Days of Departure: Full payment is required at the time of booking for reservations made within 10 days of departure.

Important Notes:

Consultation Recommended: Discuss payment options with your travel consultant to optimize exchange rates and transaction security.

RMB Payments: Clients from certain countries may benefit from paying in Chinese Renminbi (RMB). Inquire for details.

4.Cancellation and Refund Policy

Cancellation by You

If you cancel your trip:

More than 30 days before departure: 100% refund.

15-30 days before departure: 70% refund.

8-14 days before departure: 50% refund.

Within 7 days or no-show: No refund.

Refunds, if applicable, will be processed within 7 business days.

Unused Services

No refunds will be issued for unused services due to early departure, late arrival, or missed itinerary days.

No exceptions for weather, emergencies, health issues (including quarantine or infectious diseases), or force majeure events.

Special Cases

Group Tours (8+ travelers): Cancellation terms may vary; consult your travel advisor.

Trip Commencement: No refunds once the trip begins.

The following expenses are expressly excluded from the tour cost and are the sole responsibility of each traveler: Costs of obtaining a passport; Visas; Excess baggage charges; Gratuities; Purely personal items; such as drinks; Laundry; Room service; Activities beyond the scheduled itinerary; Covid-related expenses (whether mandatory or voluntary) such as testing, quarantine, etc., communications (telephone, fax, email, etc.); International airport departure taxes (payable in US dollars or acceptable foreign currency); Any excursions or deviations from the tour itinerary.

We are not responsible for deposits, payments, policies or penalties for other services not included (such as airfare, separate hotel reservations or other items handled by you and not through us)

Credit/Debit Card Refund Policy

We strive to keep our customers happy. If you are dissatisfied with our service for any reason, you agree not to file a chargeback with your credit or debit card company before giving us an opportunity to resolve the issue.

By entering into this Agreement, you agree to work with us in good faith to resolve your dispute and acknowledge that a chargeback is not an appropriate way to circumvent our Cancellation and Refund Policy.

5. Travel Documentation & Visa

Travelers are responsible for obtaining necessary travel documents, including visas, permits, and passports.

We provide guidance on visa application processes but do not guarantee approval from Chinese authorities.

It is your responsibility to ensure that all necessary travel documents are valid and with you throughout your trip. A valid passport is required for travel to most destinations. Please check with the appropriate consulate or embassy for the latest entry requirements.

You assume full responsibility, and hereby release intochinaplan from any obligation, to check and verify all passport, visa, vaccination or other entry requirements for each destination, as well as all safety or security conditions at such destinations. Any information provided to you is for reference only and it is your responsibility to ensure that you have met all travel requirements for each destination on your itinerary.

intochinaplan is not responsible for delays, changes or cancellation costs caused by incorrect, incomplete or expired travel documents. If you must cancel, delay or reschedule your trip due to expired or lost travel documents, you are responsible for all associated costs required to correct the situation. If you are unable to participate in your trip, you will not receive any amount of compensation or refund under the cancellation terms set out in this document.

6. Travel Insurance

We strongly recommend that travelers purchase comprehensive travel insurance covering trip cancellations, medical emergencies, and lost baggage.

We are not liable for any personal losses, injuries, or damages incurred during the trip.

7. Limitation of Liability

At no time and under no circumstances will we be responsible for payments or fees related to external services such as flights, accommodation, services, car services or any other part of your trip booked and paid for outside of intochinaplan.

We are not responsible for any delays, cancellations, accidents, or service failures by third parties.

Any disputes arising from third-party services should be resolved directly with the respective service provider.

8. Changes to Itinerary

While we strive to maintain the planned itinerary, we reserve the right to make changes due to unforeseen circumstances, such as weather conditions, government regulations, or supplier availability.

We reserve the right to cancel, change or modify any tour for any reason, including, but not limited to, for the safety and/or comfort of our customers and circumstances of Force Majeure (defined below in this Agreement). This includes the right to change or substitute guides and accommodations in the tour materials, modify the order of places visited, reschedule, postpone or delay your tour, and make other changes to the tour.

If we are forced to reschedule, significantly change, postpone or cancel your tour for any reason that is entirely within its control, we will notify you as soon as possible, either before or during your tour.

You acknowledge that facilities, accommodation, transportation, routes, schedules and itineraries may vary due to local circumstances or events, which may include mechanical failures, flight cancellations, illness, strikes, political disputes, weather, transit problems and other unforeseen factors. If, prior to departure, we make significant changes due to problems with our suppliers (e.g. bankruptcy), we will notify you of available alternatives as soon as possible.

Intochinaplan shall not be deemed to be in breach of these Terms and Conditions and shall not be liable to you for any delay in performance or non-performance of any of its obligations under this Agreement as a result of any actions it takes or fails to take pursuant to this Section and this Agreement. If we expressly cancel your trip (rather than changing, amending, postponing or rescheduling itinerary), we may use reasonable efforts to refund any monies you have paid, less any non-refundable deposits and cancellation fees we paid to suppliers and other third parties in order to provide components of your trip (in many cases, it will not be possible to obtain a refund from a supplier once we have transferred your trip deposit to the supplier). Please note that if we change, amend, postpone or reschedule your trip, such action does not constitute a "cancellation" of your trip by us.

9. Code of Conduct

Travelers must comply with local laws, customs, and the terms set by service providers.

Any inappropriate behavior leading to disruptions may result in service termination without refund.

You warrant to intochinaplan that you are in good health and do not have any medical condition or disability and do not require prescription medication that would require special attention during the trip.

Intochinaplan reserves the right to refuse, withdraw or deny participation to any person it deems does not meet the mental and physical fitness requirements for the trip or any of the activities on the trip.

Illness or Injury During the Trip

If you become ill or injured during the trip, you agree that intochinaplan has the right (but not the obligation) to take reasonable steps to provide you with emergency medical and/or other care and/or transportation.

By participating in any aspect of the trip, you agree to allow any and all hospitals, urgent care facilities, physicians, nurses, firefighters, paramedics, emergency medical technicians, law enforcement officials and other health care providers and/or health care agencies to provide you with medical care during the trip, to disclose and share any and all medical information regarding your condition and/or care, to contact your emergency contacts to inform them of your current medical condition. You agree to release intochinaplan from any liability, injury claims, damages and/or losses that may be incurred by you as a result of any actions taken by you under these terms and agree that any expenses incurred for such medical, transportation or other related emergency services shall be your sole responsibility and agree to reimburse intochinaplan in full within 30 days of the end of your trip for any such expenses paid on your behalf.

By entering into these terms and conditions, you hereby release intochinaplan from any and all claims for loss, liability, personal injury, death, theft and all other damages, known or unknown, that you may suffer during your trip.

10.Photography and Image Publication

You acknowledge that the media creators (if any) designated for your Trip (“Media Creators”) will own the copyright in the images, photographs and videos and any other copyrighted content they capture or create during your Trip (“Images”).

You also acknowledge and agree that intochinaplan may capture or create images, photographs, audio recordings and videos in any format that may feature you or may include your name, likeness, identity, photographic image, video image or oral or recorded statements (collectively, “Your Trip Images”).

You hereby grant intochinaplan a worldwide, royalty-free and perpetual license to use, reuse, distribute, display, create derivative works and reproduce your images and Trip Images and any images, photographs or videos you provide to us (whether directly or through photo sharing services) (collectively, “Your Images”) in any media or format now known or hereafter developed (including, but not limited to, print, digital and electronic media) for any purpose at any time, including to promote and advertise intochinaplan’s travel products and services worldwide.

Notwithstanding the foregoing, we, the Media Creators and our Third Party Providers agree not to sell or authorize third parties to sell or license your Images or Travel Images for commercial or marketing purposes without your prior written consent, except as provided in this Agreement.

11. Intellectual Property

All AI-generated itineraries and website content are the property of intochinaplan.com. Users may not copy, distribute, or reproduce any material without permission.

12.Force Majeure

Intochinaplan.com will not be deemed to be in breach of this Agreement or otherwise liable to you if it delays or fails to perform any of its obligations under this Agreement due to force majeure. “Force Majeure” means any circumstances beyond our reasonable control, including but not limited to acts of God, terrorist activities, riots, explosions, floods, storms, high winds, typhoons, fires or accidents, war or declared or undeclared threat of war, sabotage, civil unrest, labor strikes, requisitions, disease, quarantine, pandemics, epidemics, known, unknown or new diseases and viruses, such as Coronavirus/Covid-19 (including any transmission thereof), foodborne, airborne and communicable diseases and illnesses, any form of government intervention affecting domestic and/or international travel, government restrictions or warnings, diplomatic or health organization (such as the World Health Organization) warnings, border closures, weather conditions and unforeseen circumstances.

In exceptional circumstances where a force majeure event prevents, seriously impedes or renders us or our suppliers unable to provide services including but not limited to your trip, we and/or our suppliers may, at our sole discretion, take one or more of the following actions: cancel, change, amend, postpone or reschedule any travel itinerary or arrangements, including the travel date and the entire trip itself

You understand and agree that we cannot pay you any compensation, costs or expenses incurred as a result of force majeure. If we take any of the above actions due to force majeure, we regret not being able to provide any refund unless we are able to obtain a refund from our supplier.

13. Governing Law

These terms are governed by the laws of China, and any disputes will be settled in the appropriate courts of China.

You agree to indemnify intochinaplan for any and all losses, liabilities, personal injuries, death, theft, and all other damages, known or unknown, resulting from your illegal actions or failure to comply with any intochinaplan rules.
